Policies

The ICETSIMD 2025 conference has its own set of policies, which all authors are required to follow. The policy system is divided into the following subcategories:

Submission Policy: Only original research papers will be considered for further processing. Review papers and short notes are not eligible for submission to the conference. All papers must follow the conference’s prescribed format, and those that do not comply will not be considered for the review process. Authors must adhere to the submission timeline of ICETSIMD 2025, and multiple submissions are strictly prohibited. Authors are invited to submit their original research that has not been published or submitted elsewhere.

Plagiarism Policy: ICETSIMD 2025 maintains a strict policy against plagiarism. The percentage of plagiarism will be checked after excluding references and author biographies, if any. Only papers with less than 14% plagiarism will proceed to the review process. Papers with plagiarism levels between 15% and 20% will be returned to authors for resubmission with necessary reductions, while papers exceeding 21% plagiarism will be rejected outright and not considered for review.

Review Policy: The review process will begin once papers pass the plagiarism check. Each paper will undergo a single-blind review, conducted by at least two independent reviewers. All reviews will be conducted through the CMT system, and reviewers are required to submit their reports within the specified timeline. The Technical Program Committee (TPC) will oversee the review process, and the review committee will operate under TPC’s guidance. Each reviewer will receive a certificate of honor (soft copy). To qualify as a reviewer, candidates must be either research scholars or PhD holders affiliated with a reputable institution. Those interested can send a request email to ICETSIMD2025@kalingauniversity.ac.in and must have an account in the Microsoft CMT System.

Peer review is vital to the quality of published research.

Our Review process is based on a double-blind review Process

The blind review process evaluates a scientific paper by a group of experts in the same field to ensure it meets the necessary standards for acceptance and publication.

We recommend peer double-blind review for all conference papers before publication.

The conference’s Technical Program Committee, nominated by the Technical Program Chair, collaborates to review and discuss submitted papers. Review occurs during a fixed window of time, and all authors are notified of the decision on their paper at the same time. The Technical Program Chair is ultimately responsible for selecting every accepted paper.

The most common types of peer review are single-blind and double-blind reviews. In single-blind, the names of the reviewers are not shared with the author, but the reviewers are aware of the author’s identity. In double-blind, neither the author nor the reviewers are aware of each other’s identity. In both models, the anonymity of the reviewer ensures that the reviewer can give an honest and impartial evaluation of the paper. We use the single-blind review format.

Peer Review/Acceptance Policy
The practice of peer review ensures that only good science is published. It is an objective process at the heart of good scholarly publishing carried out by our Conference. Our referees play a vital role in maintaining the high standards of Transport Policy, and all manuscripts are peer-reviewed following the procedure outlined below.

Initial manuscript evaluation: The Chair TPC first evaluates all manuscripts. It is rare, but an exceptional manuscript can be accepted. Manuscripts rejected at this stage are insufficiently original, have serious scientific flaws, have poor grammar or English language, or are outside the aims and scope of the Conference. Those that meet the minimum criteria are typically passed on to at least 2 experts for review.

Type of Peer Review Review Policy employs double-blind reviewing, where both the referee and author remain anonymous throughout the process.

How the referee is selected: Whenever possible, referees are matched to the paper according to their expertise, and our database is constantly being updated.

Referee reports: Referees are asked to evaluate whether the manuscript is original, methodologically sound, follows appropriate ethical guidelines, has clearly presented results that support the conclusions, and correctly references previous relevant work.

Language correction is not part of the peer review process, but if they wish, referees may suggest corrections to the manuscript.

How long does the review process take? The time required for the review process depends on the referees’ response. Should the referee’s reports contradict one another or a report is unnecessarily delayed, a further expert opinion will be sought. In rare cases for which it is complicated to find a second referee to review the manuscript, or when the one referee’s report has thoroughly convinced the Publication Chair / Chair TPC, decisions at this stage to accept, reject or ask the author for a revision are made based on only one referee’s report. The Chair’s decision will be sent to the author with recommendations made by the referees, which usually includes verbatim comments by the referees. Revised manuscripts might be returned to the initial referees, who may request another manuscript revision.

Final report : A final decision to accept or reject the manuscript will be sent to the author along with any recommendations made by the referees and may include verbatim comments.

The editor’s Decision is final. Referees advise the editor, responsible for the final decision to accept or reject the article.

Becoming a referee for Transport Policy If you are not currently a referee for Transport Policy but would like to be considered, don’t hesitate to contact the editor. The benefits of refereeing for Transport Policy include the opportunity to read, see, and evaluate the latest work in your research area early and contribute to the integrity of scientific research and its published documentation. You may also be able to cite your work for Transport Policy as part of your professional development requirements for various Professional Societies and Organizations.

We follow the IEEE norms for the Review process.

Acceptance Policy: For a paper to be accepted, reviewers must recommend it based on several criteria, including quality, novelty, research objectives, language, presentation, validation, results, analysis, and appropriate references. A letter of acceptance will be sent via the CMT System. If required, minor revisions may be requested before final acceptance. Authors will also be notified immediately if their paper is rejected.
The review committee will provide a detailed report to the Technical Program Committee (TPC), which will then recommend whether to accept, accept with minor revisions, require further review, or reject the paper. Each track within the conference has its own dedicated committee responsible for making decisions on the papers. Registration Policy: At least one of the author in a paper which accepted should be registered in ICETSIMD 2025 to include in conference schedule for presentation as well as proceedings. The registration Fee includes conference kit, presentation, certificate and proceedings. Registration Fee is varying from track to track. Presentation Policy: All authors of registered papers are required to present a 15-minute PowerPoint presentation during the conference, which will be conducted exclusively in offline mode. However, under exceptional circumstances, ICETSIMD 2025 may permit a limited number of papers to be presented online, provided prior permission is obtained from the conference authorities. Authors must provide a valid reason for requesting an online presentation, and approval is not guaranteed for all such requests.
Each presentation will be strictly timed to 15 minutes, including 12 minutes for the presentation and 3 minutes for questions and suggestions. Therefore, ICETSIMD 2025 advises all authors to prepare an effective and concise PowerPoint presentation to fit within the allotted time.

Fee Refund Policy: There is a specific policy regarding the refund of registration fees if authors decide to withdraw their papers. However, the applicable tax deductions will be made in accordance with the rules and regulations of the Indian government. The refund policy, as outlined below
Withdrawal Before Paper Acceptance: If the paper is withdrawn before the acceptance notification is issued, a refund of the registration fee will be processed after deducting administrative charges and applicable taxes.
Withdrawal After Paper Acceptance but Before Final Submission: If the paper is withdrawn after acceptance but before the final submission deadline, 50% of the registration fee will be refunded after deducting applicable taxes.
Withdrawal After Final Submission: No refund will be provided if the paper is withdrawn after the final submission deadline, as the paper would have already been included in the conference proceedings.
Request Submission: Refund requests must be submitted in writing to the conference organizing committee, along with proof of payment and valid reasons for withdrawal.
Processing Time: Refunds, if applicable, will be processed within 30 days of approval by the organizing committee.
